Additional Time Clock Information – Shortcuts
Users will now be able to setup Shortcuts linking Trading Areas, Work Areas, Jobs, Events, and Master Events combinations allowing employees to then specify those shortcuts when clocking in or changing departments. This information will be uploaded from the Time Clocks back to WFA.

Updates to all reports with option to Print Header on all pages
All reports within WFA have an option to Print Headers on all pages as needed by users. The default will have the option unmarked and the Header information will only appear on the first page of the report.

Combine AccuEngineDTS with WFAAutoDownload Service to WFAServices
AccuEngineDTS, AccuEngineDB, and WFAAutoDownload have all been combined into WFAServices.

Trading Area Groups Security Restrictions
Customers have voiced a need to restrict users from viewing or changing information in different departments or trading area. This includes employees, employee look-ups, and the edit shift window. Managers are only allowed to see their own trading area information and employees.

Authorize and Verify in one step – Employee Clocking Details
  • Managers will be restricted from approving clockings until after the employee has punched in and out.
  • WFA will automatically process clockings at the same time authorization takes place as well as identifying clockings in week order – that is clockings on Monday should be done before clockings on Tuesday, etc. The end result being overtime is calculated on the day that is actually overtime.

Restricted Access to Trading Area Groups
Customers have the need to restrict users from viewing or changing information departments. This includes employees, employee look-ups, and the edit shift window. Managers should only be allowed to see their own department information and employees.

This has been done by restricting access in windows to either their own trading area and/or employees within their own trading area. Users are only able to view information / schedules / employees from their own trading area.

The new functionality enables the system administrator to link the User ID with a Trading Area Group. As part of the setup for this functionality, the system administrator will have to setup Trading Area Groups and the Trading Areas associated with that group. Once this has been completed, the end user will only be able to access any information pertaining to Trading Areas that are contained within their own group.

If the home trading area group is not entered in the security setup for a user, that user will be able to view all employees across all trading areas. This is the same as the current functionality; there are no restrictions by trading areas.

Display User Defined Fields in the Edit Shifts Window
Once activated within the Business Setup window, the user is able to see all the Miscellaneous fields when viewing the employee’s schedule for the week in the Edit Shifts window.
  • It is the responsibility of the end user to add and maintain the information contained in the Miscellaneous fields in the Employee window.
Report Enhancements – Shift Assignment Report

Customers require that the standard Shift Assignment Report be changed to meet their needs. Posted employee schedules fully explain the reason why an employee is or is not working on any given day. Basically, if an active employee is not scheduled to work, they would fall under one of three categories:
  1. The day is their fixed day off.
  2. Due to staffing needs, they are given the day off (flex day).
  3. They have requested time off and are using one of the many leave codes.
The standard Shift Assignment report displays these various reasons on the days necessary.

In addition, the report groups by the employment pool and prints a new header for each new employment pool as well as print the volume measures entered during Schedule Setup.

Temporary Availability: Edit Shifts – Flip Arrow Window
Customers scheduling managers keep their employees’ approved requests for time off up-to-date by recording them in Workforce Automation (WFA). By recording it in WFA, this will allow the request to also print on the department’s weekly schedule via Crystal Reports. The request for time off entry is done through the employee details window under the temporary availability tab by filling in the dates and entering a leave code description.

When managers are looking at a week’s schedule, via the Edit Shifts window, they can select the flip-arrow that will show the current week’s view of the selected employee’s scheduled hours. The hours (start time – end time) will show in each day square they are working. If they are not working, it leaves that day square blank.

However, if the day square is left blank the user cannot assume that that employee is available, as they may have a planned day off (temporary availability). In this case the only way to tell if the employee is available is to select the blank day square and view the availability color graph (red is unavailable, green is available). The color graph is represented from the permanent availability, or if they have the day off it will fill in with the temporary availability entry. While the employee is temporarily unavailable, you may not remember why they are unavailable for that day.

To make the flip-arrow view process more efficient, we have added the leave code description at the bottom of the day square when there is a temporary availability. This makes it easier to recognize that they have the day off without having to drill down on the specific day. It also explains why the employee has the day off (vacation, birthday, sick, etc). This gives the scheduling managers the most up-to-date information in a single view, without having to drill-down on each day.

  • When viewing the Edit Shifts window, the employees’ availabilities are refreshed only when the Edit Shifts window is first opened. Temporary availabilities that are entered while the Edit Shifts window is open will not show until closed and re-opened.
  • In the Edit Shifts window, employee’s availabilities will only show the current week according to the current week start date.
  • This will not affect current standard reports or the Atlantis’s custom Crystal reports.
  • If an employee is marked as temporarily unavailable for just part of the day, even a few hours, the leave code will show in the day square. For example, an employee who is normally available M – F from 8am – 5pm has a doctor’s appointment on Monday from 8 – 12. This is marked in the temporary availabilities from 8 – 12. While they are available to work 12 – 5, it will show the leave code on the day square in the edit shifts window. Please note that the time bar below the square will show when they are unavailable and available.
